Timeslips Data Conversion

Timeslips supported versions

For a fee, TimeSolv can convert Timeslips Version 9 or higher. We have converted older versions of Timeslips, but TimeSolv will need to evaluate and analyze the data before confirming a conversion.

Review data in Timeslips

Before extracting data from Timeslips database, please perform the following tasks.

Timekeeper

  1. Every timekeeper must have an email address. More than one timekeepers can share an email address but make sure that Name and email address both can uniquely identify a timekeeper.
  2. TimeSolv stores timekeeper name as First Name and Last Name.  Names are displayed as LastName, FirstName, e.g. For instance Greg E. Berger may be displayed as  Berger, Greg E. Please ensure that the names in Timeslips are structured correctly to convert to TimeSolv.
  3. Remove any spaces that are included in the last name, for example, F. James Durham, Jr. should be F. James Durham,Jr. without the space before Jr.
  4. If names are not corrected, TimeSolv shall use the following rules for data conversion.
    1. If the name has one or more spaces, text after last space character is considered to be Last Name
    2. If Full Name is empty, Nickname1 is used to convert names.
  5. To ensure that a duplicate timekeeper is not created during conversion, First Name, Last Name, and Email should be identical in Timeslips and TimeSolv.
  6. If you are using LEDES billing, timekeeper Title is converted to LEDES Id. Please specify one of the following titles for each timekeeper:
    1.  Associate
    2. Legal Assistant
    3. Other Counsel
    4. Other Timekeeper
    5. Paralegal
    6. Partner

Client and Matter

Timeslips allows use of either Nickname1 or Nickname2 field to store client and matter numbers. Ensure that the client and matter names are used consistently in Timeslips. For example highlighted in the screenshot below, client id for North is 02 and for Project1 is 0101.

This situation can be flipped and Nickname2 may be used for the client-matter id also.

Ensure that the client id specified via the NickName1 or NickName2 are unique for each client. Timeslips does not impose this requirement.

Note – In case there are more than one clients marked as Master for the same Client Number, duplicate Clients would be created in TimeSolv.

  1. Ensure that a single Project Separator (defined in Timeslips -> Setup -> General -> Nicknames -> Project Separator) is consistently used. If more than one separators are used, separate Clients records may get created for those Clients in Timeslips which essentially are Projects. Specifying separator character (in Timeslips General Settings), however, is not mandatory.
  2. Ensure that abbreviations for States are correctly specified in Timeslips.

Template clients are not extracted as Clients.

TimeSolv only supports use of single tax rate applicable by client and task.

TimeSolv does not support three-level Client-Project hierarchy. Three-level Client-Project hierarchy is a situation when a non-master Client has one or more References and also has a master client (by Client Number). TimeSolv will still extract the References as Matters but will link those Matters to the master client instead of the non-master client. Non-master client will also end up as a Matter in TimeSolv.

TimeSolv does not support custom fields.

Questions/Comments for Customers

Timeslips allows use of Nickname 1, Nickname 2, or client full name as the name of the client.

Clients needs to specify their choice for one of these fields to be used as the unique client name in TimeSolv.

Matter

  1. For every Client record, a matter record is created. The matter name is determined in the following order:
    1. From the specified field ie. ‘In Reference To’, ‘Nickname 1’, ‘Nickname 2’, or ‘Full Name’
    2. If ‘In Reference To’ field is specified, it is considered as matter Name.
    3. Otherwise, if the other Nickname, than the one containing Client/Project numbers, contains matter Separator, name after the separator is considered as matter Name.
  2. Timeslips also has an option to specify matter names via Reference to a client record. For every Reference record of a Client, a matter record is created. Nickname1 is considered as Matter Name. If Nickname1 is empty, Client Name is considered as matter Name as well. Nickname2 is considered as matter number.
  3. Template Matters and Matters of template Clients are not extracted.

Questions/Comments for Customers

Some firms use client-matter ID instead of the client matter name to select a client-matter. TimeSolv recommends that a law firm use names instead of client matter IDs. However, if a firm chooses to stick with their practice of using numbers, TimeSolv accommodates this practice.

Having the client and matter ID appended to the matter name enables timekeeper to enter time by just typing in the client matter ID number instead of the name.  For example. A client matter combination would be Walmart Corporation – Acquisition of jet.com can be represented as 110-1243 Acquisition of jet.com – Walmart on the time entry screen and the timekeeper can just type in 110-1243 to select this client and matters.

Time Cards created using Template References are not supported.

Expense Card

Expense Cards created using Template References are not supported.

Invoice

There must not be any prebills in Timeslips at the time of conversion.

Questions/Comments for Customers

TimeSolv allows default invoice delivery options so that the law firm does not need to selected for every client at the time of invoice generation on how the invoices would be delivered to the client.

Invoice delivery options comprise printer to generate a PDF for printing or saving, email for sending invoices by email, and Automail where invoices can be automatically printed and mailed the next day. Automail charges do apply so we do not recommend use of this option unless law firm intents to automatically deliver invoices in print and be mailed by TimeSolv. Email option is highly recommended, it also provides a link for a client to pay an invoice by credit card or ACH using the client portal.

Invoice delivery information is not available in Timeslips.
