Tip of the Week: Time Entry Lock-out Options

It’s important to have a Time Entry lock-out policy to ensure all billable time is logged in a timely manner. You don’t want to be reviewing draft bills only to find a Matter that has some missing entries. TimeSolv has a way of avoiding having an admin person tracking down Timekeepers to get entry details that may have occurred weeks ago, and that is to create a Time Entry lock-out policy. A Time Entry lock-out policy requires Timekeepers to log their entries within a specified time frame. Our Tip of the Week looks at how to use TimeSolv’s Time Entry lock-out date feature to enforce a time tracking policy.

Just head under the settings section under the Time tab. You’ll see a field near the top where you can enter your ‘Time Entry Lock Out Date’. Timekeepers without admin access will not be able to make entries before that date. So, for example, if you enter June 8, 2021, only admins can make entries prior to that date. This would mean if your Timekeepers are not up to date they would need to talk to an admin user to get the issue settled.

TimeSolv suggests you create a policy where each week is locked on whatever day you deem as the end of your week, for example, Saturday. Then your admin should review the previous week’s entries and assure that any missing time is accounted for. Policies like this will shift your firm’s culture to assure all time is entered in the most timely fashion. This will reduce headaches and tedious backtracking trying to find Time Entries when you’re generating your monthly invoices.

Our Time Entry lock-out options are the following:

  • Allow Entries for All Dates – No restriction for Time Entry date for all users.
  • Allow Entries On or After Date – Non-admin users can only add/update Time Entries on or after the date of specified settings. By default, the past or future days will show as zero.
  • Allow Entries During Rolling Period – Non-admin users can only add/update the Time Entry if the date is within the range of allowed days. For example, if the date of the Time Entry is prior to the number of allowed past days or after the number of allowed future days.
